This statement explains what personal data ESN Stockholm processes when you use esnstockholm.org or contact us, why we do it, and what rights you have. We keep it short and only describe the tools this website actually uses.
Who is responsible
ESN Stockholm, a section of the Erasmus Student Network, is responsible for the personal data described here.

When you contact us
If you use the form on our Contact page, we receive your first name, last name, email address and message. The form sends them to our email inbox; the website does not store them. If you email us or message us on social media, we receive the details you send.
We use this information only to answer you and follow up on your question. The legal basis is our legitimate interest in answering messages sent to us. We keep your message for as long as we need it to handle your question, and then delete it.
The contact form is protected against spam by Google reCAPTCHA. When the Contact page loads, reCAPTCHA sends Google your IP address and information about your browser and how you interact with the page. The legal basis is our legitimate interest in keeping the form free of spam. Google’s privacy policy applies to that data.
Statistics (Google Analytics)
If you accept statistics cookies, we use Google Analytics to count visits and see which pages are useful. Google Analytics then sets cookies and collects information such as the pages you view, how you arrived at the site, your approximate location, and your device and browser type. It does not start until you accept, and nothing is collected if you choose Deny.
The legal basis is your consent. You can withdraw it at any time with the “Manage consent” button on every page. Google Analytics keeps the detailed data for at most 14 months, and may process it in the United States under the EU-US Data Privacy Framework.
Cookies
We use a few functional cookies, for example to remember your cookie choice. Statistics cookies are only used with your consent. The Cookie Policy lists every cookie the site uses.
Hosting and security
Our website is hosted for us by ESN Sweden and delivered through Cloudflare, which protects the site against attacks and makes it load faster. Like every web server, these services process technical data such as your IP address and browser type when you visit. Cloudflare also counts page views for us without cookies. The legal basis is our legitimate interest in running a secure and working website.
The website’s fonts are served from our own server, so your browser does not contact Google Fonts.
Instagram feed
The What’s On page shows posts from our Instagram account. The posts and images are copied to our own server, so viewing the page does not connect your browser to Instagram. If you click a post, Instagram opens and Meta’s privacy policy applies.
ESNcard and events
We sell the ESNcard and event tickets through the hitract app. When you apply for an ESN Stockholm membership there, we receive the details you enter, such as your name, email, phone number, place of study and photo, and we use them to approve your membership and issue your ESNcard. To use your ESNcard discounts, you register it yourself at esncard.org. hitract and ESN International handle the data you give them under their own privacy policies.
Links to other websites
Our pages link to other services, such as hitract, esncard.org, WhatsApp, Instagram and Facebook. Their own privacy policies apply when you use them.
Who we share data with
We do not sell personal data. We only share it with the service providers named above, when they need it to provide their service to us, or when the law requires it.
Your rights
Under the General Data Protection Regulation (GDPR) you have the right to:
- get a copy of the personal data we hold about you
- have incorrect data corrected
- have your data deleted
- restrict or object to how we use your data
- receive your data in a portable format
- withdraw your consent at any time, without affecting what was done before
To use these rights, email [email protected]. If you think we handle your data incorrectly, you can also complain to the Swedish Authority for Privacy Protection (IMY).
Changes to this statement
When the website or the way we use personal data changes, we update this statement and the date at the top.
